GUIDELINES FOR GRADUATING STUDENTS
(MASTER’s DEGREE FROM IIT)

STEPS TO FOLLOW:

IIT Transcript Request
• Make sure to follow the procedures below to request your complete, original transcripts be sent to your home institution, as soon as all grades are posted, so that your home institution can review and validate the courses completed at IIT.
• Transcripts are not automatically sent on your behalf. You must request them at the time you deem appropriate.
• Please allow 1-2 business days for processing.
• Transcripts can be requested anytime through MyIIT or by following instructions found at www.iit.edu/registrar/student_records/transcripts.shtml.
• To receive a free copy of your transcript, please visit our office in Main Building, Room 104
• You are responsible for providing the contact name and address of your home institution at the time you place your order. The registrar’s office maintains no contact information for your home institutions.
• Official transcripts reflect the current student record at the time the order is placed. To ensure all anticipated grades and/or awarded degrees appear on your student record before placing your order, please check your unofficial transcript in Banner self-service through MyIIT.
• Confirmation of your order and tracking information is provided through our automated system.
• If you have any specific questions about the transcript ordering process or need further information, please contact registrar@iit.edu for a timely response. Due to privacy laws, we are unable to address student specific questions if you use an email address other than your @iit institutionally assigned email address.

  1. At the beginning of the semester in which you plan to complete your final year project  (e.g. PFE for French students or PFC for Spanish students, or research project for Italian students), at IIT, and/or all required courses towards the IIT Master’s degree, please be sure to submit the following:

    FORM 527- GRADUATE APPLICATION FOR GRADUATION, available at

    www.iit.edu/graduate_college/academic_affairs/FormsGradStu.shtml and send to Graduate Academic Affairs, by email, fax, or submit in person, by the degree conferral deadline posted on the Academic Calendar.
    For example:
    - If you wish to graduate by the end of the summer (July), you must submit FORM 527- Graduate Application for Graduation by June 4, 2009
    -If you wish to graduate by the end of the spring semester (May), you must submit FORM 527 -Graduate Application for Graduation by Feb 1, 2010
    -If you wish to graduate by the end of the Fall semester (Dec), you must submit FORM 527- Graduate Application for Graduation by Sept 13, 2010.

    N.B.  The above dates will change slightly for years 2011 and beyond.  Therefore, make sure to review important dates and information for graduate students at http://www.iit.edu/graduate_college/academic_affairs/  AND

  2. In order for you to receive the IIT Master’s certificate, (also referred to IIT diploma) this will only be issued to you, upon receipt of proof of your equivalent Master’s degree from your home institution.  This may be in the form of a letter certifying completion of your equivalent degree at your home institution, on your home institution’s letterhead, signed and dated, stating that you ___ (Name) have successfully completed all requirements towards your degree (mention degree name awarded by home institution) at your home institution  (mention name of institution).  This letter should be sent by post, to:

    A scanned copy of the above certification of completion, issued by your home institution, may also be sent in the meantime, to Ms. Duncker, though the original, must be sent to her by post. You will be sent a reminder from Graduate College asking for proof of your degree completion at your home institution, as well as any other outstanding requirements, during the preliminary degree checkout, about 1-2 MONTHS AFTER the start of each semester, and again during final checkout, about 2-3 WEEKS BEFORE THE END of the semester.
    Please note that without proof of the degree from your home institution, you will not be able to receive the IIT Master’s certificate (also referred to at IIT, as the IIT diploma). Academic Affairs must receive your home institution completion verification in the form of a letter mentioned above in point 3, WITHIN 30 DAYS AFTER THE END OF THE SEMESTER IN WHICH YOU PLAN TO GRADUATE. Degrees are awarded on the semester end date noted on the Academic Calendar.

  3. IF you plan to stay on in the U.S. and look for jobs, you may receive a letter of completion of your Master’s degree at IIT from the Graduate College. The contact person is Ms. Sue Duncker. These letters will be ready for you to collect from Ms. Duncker’s office 1-2 weeks prior to the final examination period each semester, PROVIDED ALL IIT’S REQUIREMENTS HAVE BEEN FULFILLED.
  4. A copy of your final transcripts will be sent by the IIT Registrar’s office (ONLY UPON YOUR REQUEST) directly to your school, once your degree has been audited by the Graduate College. This audit happens within 30 days after the end of your final semester.  Your home institution will need tboth the transcript that you request from the Registrar and the confirmation that is sent separately from the Office of Academic Affairs to validate your final year at IIT.
  5. For your IIT Master’s certificates (also referred to at IIT, as IIT diploma), please check the Registrar’s website as this office will be sending you information asking for your updated information and mailing address in order to mail to you your IIT Master’s certificates. PLEASE NOTE THAT ALL COMMUNICATION FROM IIT WILL BE SENT TO YOUR iit email address.  Any specific questions, regarding your IIT Master’s certificates, e.g. correction of name, etc. contact the Registrar’s office at registrar@iit.edu
  6. For access to your transcripts, you can log on to the myIIT Portal. On the Academic Tab, choose the Banner Self-Service Channel and navigate to Student Records Folder to view unofficial transcript. 
  7. If you plan to postpone your graduation, to the next semester, make sure to submit a NEW application for graduation (FORM 527) PRIOR TO THE END OF THE SEMESTER, and notify Academic Affairs by email, gradcoll@iit.edu.  You will NOT be charged an additional graduation fee.
